Please thoroughly read the following statements.

The following statements describe conditions we need any vendor/exhibitor to fully understand before applying as a Merchant or Community Organization vendor. Before proceeding, you must indicate that you have read and understand these statements by checking the corresponding boxes next to them.

Merchant & Community Organization Guidelines

This application does not guarantee vendor acceptance into Levi's GranFondo.*

This is an application only and does not confirm entry as an exhibitor to Levi's GranFondo. All vendors will be notified of acceptance no later than March 15, 2024.

Fees*

A 10’ x 10’ booth space costs $350 for one day, but only $550 for two. The Friday Expo has the benefit of more focus on the vendors who are there, and Saturday has the benefit of more Festival foot traffic in general. We strongly encourage our vendors to be present for both. Upon notice of acceptance, a complete payment of all fees will be required. This fee is included in your sponsorship agreement if you are a sponsor or partner.

Merchant & Community Organization Guidelines and Greening Guidelines*

I have read and understand the conditions in the Merchant & Community Organization Guidelines. I will also comply with the Greening Guidelines of the event, which include but are not limited to recycling, composting and no styrofoam (detailed Greening Guidelines to be sent to all approved applicants). I further understand that I will be subject to comply with these conditions at all times during my exhibition at Levi's GranFondo.

Liability Insurance*

All vendors will be required to carry Liability Insurance and provide a Certificate of Insurance if accepted to either or both days. It shall be in full force and effect during this temporary license agreement (including the period of setup and cleanup). The minimum coverage is $1 million combined single limit per occurrence to cover public liability and property damage. Bike Monkey, King Ridge Foundation and Levi Leipheimer must be named as additional insured.

Certificate of Insurance must be emailed to info@bikemonkey.net before March 22, 2024. Failure to provide COI may void participation.

Arrival and departure times*

All booths are to be fully staffed and open during public hours (12 pm to 7 pm on Friday and 11 am to 6:30 pm on Saturday). After load-in time window, no vehicles of any kind are allowed on site. No load-out can occur until after public hours.

Business Licensure*

All vendors will have, in their possession, all licenses required to conduct business in the State of California, the County of Sonoma, and the Town of Windsor. It is the responsibility of the vendor to possess and display these permits and licenses as needed. Know what you need and be self-sufficient.*

Levi's GranFondo staff or volunteers will not be available to provide supplies or services for which vendors are to be responsible. These would include, but are not limited to: water, electricity, food, tables, chairs, tents, sandbags, set up or take down support, and booth staffing. All vendors are responsible for all aspects of their booth operation, including load-in and load-out, set up and take down, at all times.

Exhibit Opportunities

Levi’s GranFondo expects 2,000 riders to ride in the main event on April 13, 2024 at the Windsor Town Green in Windsor, CA. Approximately 80% of those riders will pass through the Registration Expo on Friday, April 12, 2024. In addition to the 2,000 riders, an estimated 1,000-1,500 members of the general public are expected to attend the Levi's GranFondo Festival on April 13, 2024.

Friday, April 12, 2024: All riders are required to come to the Huerta Gymnasium, adjacent to the Windsor Town Green to pick up their rider packet. This is referred to as the Registration Expo. There is a small footprint available for vendors to come and exhibit or sell products to riders coming in for packet pickup. It's a busy day and starts in earnest at 12:00 PM with consistent attendance until about 6:00 PM. Registration and packet pickup continue until 8:00 PM, but the Expo officially closes at 7:00 PM.

Saturday, April 13, 2024: The GranFondo ride departs at 8:00 AM from the North West side of Windsor Town Green and the Saturday Festival opens at 11:00 AM on the Town Green. This is approximately when the first riders on shorter courses are expected to return. Nearly all riders will be in by 6:00 PM, but the Festival will remain open until 7:00 PM to accommodate meals and beverages for the last finishers. The Saturday Festival is very much a family setting with many fatigued, happy cyclists and their excited friends and supporters. A music headline might get scheduled from 4:30 PM to 6:00 PM.

Exhibit fees are per day, for a 10x10 booth space. Should you want to exhibit at both the Registration Expo and the Saturday Festival, you will have to pay booth fees for both days.
